1. Registration and Payments
A contract is formed between the attendee and the organisers once payment is completed and a confirmation of the registration is emailed to the attendee. The event will be capped at 200 attendees, where registrations are accepted on a first come first served basis.
If a registration includes items and/or services that are charged separately, an additional invoice for the relevant items and/or services will be sent to the attendee. This invoice must be paid at least one week before the event. If payment is not made, the organisers reserve the right to remove these items and/or services from the registration.
All payments are securely processed by Stripe.
2. Event Participation
All attendees of this event whether spectators, non-competitors, competitors, officials or guests of the organisers shall be bound by the rules of the event and by attending, automatically become obliged to abide by them.
The organisers reserve the right of admission and may ask persons displaying unacceptable behaviour to leave. No refunds will be made.
The organisers do NOT accept responsibility for any loss or injury to persons or possessions as a result of their attendance at or participation in the event.
Disclaimer: Dancing is an aerobic activity and all attendees at this event participate at their own risk. The organisers cannot be held responsible for any loss or injury sustained by attendees. Everyone attending does so at their own risk.
Age Limitation: Anyone under the age of 18 at the event must be accompanied and supervised by an adult who acts as their chaperone. This adult will be held responsible for the propriety of the minor. Attendees must be at least the age of 16 to compete at the event.
3. Competition Participation
It is the responsibility of all competitors to read and understand the rules for the competition category/categories they are entering, and to check the heats listings and schedule for the timings of their heats.
Any competitor who is not in the marshalling area with their partner, dance numbers fixed securely in position, and ready to enter the dance floor when called will not be able to compete. The organisers cannot be held responsible if any competitor misses their heat.
No refunds will be made for competitors who withdraw or are unable to compete either before or during the event.
Category Entry: Entry to most categories will be closed one week before the event and entries received after this date may be refused. However, where there is capacity in any category, entry to that may be accepted at the organisers’ discretion. Any categories that are under subscribed the week before the event may be cancelled, in which case, all entries for that category will be notified.
Judging: Decisions by the judges are final and no correspondence will be entered into. Judges are required to maintain confidentiality regarding results so please refrain from approaching them with queries about the results. Judges are not permitted to be involved in the choreography of competitor routines for events they will be judging. However, this does not preclude judges from assisting in technique or move improvement before the day of the competition.
4. Photographs and Filming
All attendees agree that they can be photographed and filmed during the event, and any photos or videos they appear in may be used for promotional purposes. There will be an official photographer and videographer at the event. Photos may be available for download shortly after the event at the photographer's discretion. Attendees are allowed to take photos and videos but these must be for personal use only and cannot be sold or distributed for profit. No one is allowed on the competition dance floor apart from competitors during their heat, judges, and officials.
5. Changes by the Organisers
The organisers reserve the right to amend or alter any information they have published or may publish from time to time in the future, in connection with this event. All details are subject to change by the organisers at any point.
No refunds or compensation will be given if an advertised instructor or performer is changed or cancelled, or length or content of a workshop or performance is changed.
6. Changes by the Attendees
Any attendee wishing to amend or alter the details of a confirmed registration may do so up to one week before the event by logging into their participant account.
No refunds will be made for any unused accommodation items and/or services due to voluntary variation of activities by attendees.
7. Cancellations
All confirmed registrations or portions of a confirmed registration are strictly non-refundable. However, passes may be transferrable and sold to another person. Before doing so, the original attendee MUST email the organisers to seek approval. After selling their pass, the original attendee is responsible for updating the registration with the details of the new attendee in their participant account. Transfers are valid only upon receipt of confirmation from the organisers before the start of the event. Passes are not transferrable once the event has started. There are no exceptional arrangements for special circumstances such as illness, bereavement, emergencies or accidents, etc.
If the event is postponed or cancelled by the organisers, attendees may opt to transfer their registration to a future event or receive a full refund, less an administrative fee of USD 50.
If the organisers are forced to cancel, or in any way change the event due to a force majeure event, attendees will receive a full refund, less an administrative fee of USD 50. The following events are considered as force majeure: floods, earthquakes, war, fire, covid-19, changing government policies and laws, or other objective events outside of their control.
8. Travel Insurance
It is the responsibility of all attendees to buy travel insurance before the event or ensure that they hold a policy providing cover at the time of registration. Should any attendee not have adequate insurance cover in the event of an emergency, the organisers will offer all reasonable assistance but the attendee will be responsible for any costs involved as a result of their failure to take out adequate cover. It is the responsibility of the attendees to read their policy details carefully and ensure that the insurance cover they purchase or hold is adequate for their particular needs and activities. The organisers do not check insurance policies.
9. Passports, Visas and Health Requirements
It is the responsibility of all attendees to check, understand, and comply with the passport and visa requirements for each country they will be visiting or passing through.
It is the responsibility of all attendees to research the health risks and requirements associated with each country they will be visiting or passing through and each activity they will be engaging in, and to confirm that they are fit to travel and engage in the intended activities.
It is the responsibility of all attendees to ensure that they are in possession of all necessary travel and health documents before departing their country of origin.
10. Privacy Policy
Information provided by the attendees during the registration process is used for the following purposes:
The organisers will need to pass the information on to the relevant suppliers of the event operations such as hotels, transport companies, etc. The information may also be provided to public authorities such as customs/immigration if required by them, or as required by law. Otherwise, the organisers will not give personal details of attendees to any other party.
